ABOUT THE COMPANY
  
A well-established Melbourne entertainment and events company based in Richmond is looking for an exceptionally organised Events Administration Coordinator to keep its busy schedule of bookings and events running smoothly.
  
The company delivers entertainment for red-carpet events, corporate functions, weddings, private celebrations, themed events, gala dinners, fundraisers and spotlight performances.
  
While the industry is creative, this is not a creative role. It is a hands-on administration and coordination position for someone who enjoys managing details, following up outstanding actions and making sure nothing falls through the cracks.
  
THE ROLE
  
You will manage the administration and coordination behind multiple entertainment bookings and events at different stages of delivery, ensuring every detail is organised and nothing is overlooked.
  
This includes preparing and issuing invoices, following up payments and outstanding information, maintaining calendars and schedules, confirming performers and event requirements, booking venues, flights and staff, communicating with clients, preparing run sheets and keeping accurate records.
  
You will track deadlines, coordinate with clients, performers, suppliers and other stakeholders, and make sure every task is completed in the right order and on time.
  
When information is missing or something is holding up a booking, you will be comfortable picking up the phone, getting an answer and sorting it out. You will need to stay across the detail, anticipate potential issues and take ownership of keeping each booking moving.

Based in Richmond, standard office hours are Monday to Friday, 9:00 am–5:00 pm.

Salary $80,000 + superannuation.
  
ABOUT YOU
  
You are highly task-oriented, naturally organised and have an exceptional eye for detail.
You enjoy working through a busy list, closing off actions and keeping multiple moving parts under control.
  
You have a “dog with a bone” approach to follow-up and will not let an outstanding task disappear into an inbox. You are confident speaking with people by phone and email and can communicate clearly, professionally and directly.
  
You will also need to be highly capable across Google Workspace, particularly Gmail, Google Calendar, Google Meet and shared documents, as well as Microsoft Excel.
  
Previous experience in event coordination, bookings, administration, event project coordination or a similarly fast-moving environment is essential. Experience within the entertainment industry would also be highly desirable, but exceptional administration skills, attention to detail and follow-through are what matter most.
